Who we are

Cheer Technologies, LLC ("Cheer Technologies," "we," "us") provides software for cheerleading and dance competitions: Themis (themis.events and event producers' Themis sites), used for registration, waivers, scheduling, scoring and payments, and Cheer Replay (app.cheerreplay.com and related apps), used for routine video, live streaming and results. This policy explains what personal information we collect through these services (the "Services"), how we use and share it, and your choices. Our SMS Privacy Policy, at cheerreplay.com/privacy-policy, also applies to SMS support conversations.

Our role

Event producers and gyms (programs) use the Services to run their events and teams. For much of the information described here, especially information about athletes, the producer or gym decides what to collect, and we process it on their behalf. Questions about how a particular producer or gym uses your information are best directed to them; we will help them respond.

Information we collect

Account information. Name, email address, date of birth, password (stored only as a salted hash), and the IP address used when you register. Cheer Replay accounts may also include phone number, gender, city, state, country and ZIP code.

Program, team and roster information. For gyms: business name, address, phone, email, website, logo and USASF program ID. For athletes, coaches and guardians: names, date of birth, gender, contact details, postal address, USASF member IDs and team assignments, provided by the gym, a guardian, or imported from USASF with the gym's authorization.

Registrations, waivers and event forms. Answers to registration questions set by the event producer, which may include any information the producer asks for. When you sign a waiver we record your typed signature, signer role, the time, your IP address and a device fingerprint, and keep the signed document.

Payments. Payments and producer payouts are processed by Stripe. We store Stripe identifiers and transaction records, not full card or bank account numbers.

Media. Routine music uploaded for events, and routine video, livestreams, photos and score information.

Tickets, store orders and inquiries. Names, emails, phone numbers and shipping addresses for spectator tickets and merchandise, and contact details you submit when you ask about our products.

Support and communications. Support tickets, messages and attachments (such as screenshots), and records of the emails we send you, including whether they were delivered, opened or clicked.

Technical information. Error reports and diagnostics, including session replays of errors with on-screen text masked and media blocked; sign-in tokens and preferences kept in your browser's local storage; and data cached on your device or on event-site equipment so the Services work offline at venues. We do not use third-party advertising or analytics trackers.

How we use information

We use personal information to provide and secure the Services: running registrations, waivers, schedules, scoring, results, video and payments; sending service emails and, where requested, text messages (such as routine results and upload links to coaches); providing support; preventing fraud and misuse; diagnosing problems and improving the Services; and meeting our legal obligations.

AI-assisted features

Some features use artificial-intelligence services. Anthropic and OpenAI process the information needed for those features on our behalf. This covers the registration assistant, the in-app assistant, translating and summarizing support tickets, and reading files you choose to import, such as rosters, scoresheets and age grids. We use these providers' business services, not consumer products.

How we share information

We do not sell your personal information. We share it only as follows:

  • The event producer or gym you register with, or that manages your team, and the people they authorize.
  • Service providers that process data on our behalf: Stripe (payments), Twilio (text messages), Amazon Web Services (hosting, storage, email and SMS delivery, and account sign-in for Cheer Replay), Railway and Neon (Themis hosting and database), Sentry (error monitoring), Anthropic and OpenAI (AI-assisted features), PostGrid (mailing printed waiver copies you request), Wowza (live streaming), Google (maps and time-zone lookups for event venues) and USASF (roster imports a gym authorizes).
  • Between our services: Themis shares event schedules and coach contact details with Cheer Replay so coaches can receive routine video and results.
  • Legal and safety reasons, when required by law or needed to protect the rights, safety and security of our users, athletes or Cheer Technologies.
  • Business transfers, if Cheer Technologies is involved in a merger, acquisition or sale of assets, subject to this policy.

Children

Our Services are used to run youth competitions, so they hold information about athletes who are minors. That information is provided by the athlete's gym or parent or guardian, not collected directly from children, and waivers for minors are signed by a parent or guardian. Accounts are intended for adults. If you are a parent or guardian and want to review, correct or delete your child's information, contact us or your child's gym.

Text messages

If you give us your mobile number and agree to receive text messages, we use it only for the messaging programs you opted into, described in our SMS Terms (/sms-terms). How to opt in is shown at https://app.cheerreplay.com/sms/opt-in (Cheer Replay Alerts) and https://themis.events/sms-opt-in (Themis Notifications). No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties. We share mobile numbers only with the providers that deliver our messages. Reply STOP to any message to opt out, or HELP for help.

Your choices and rights

  • Access and export: Themis users can download a copy of their data, or their program's data, from their account page.
  • Deletion: Themis users can request erasure of their personal data from their account page. If you have upcoming registrations, erasure completes 30 days after your last event. For Cheer Replay, or for any other request, contact us.
  • Correction: update your details in your account, or ask your gym or event producer.
  • Communications: use the unsubscribe link in marketing or notification emails. For text messages, reply STOP.

We may need to verify your identity before acting on a request, and we may keep certain records where the law requires, such as payment records.

Retention

We keep personal information for as long as needed to provide the Services, support producers' and gyms' event records, keep financial and legal records, resolve disputes and enforce our agreements. When information is no longer needed, we delete or de-identify it.

Security

We use administrative, technical and physical safeguards designed to protect personal information, including encrypted connections, hashed passwords, access controls and least-privilege access for staff. No system is completely secure, but we work to protect your information and will notify you of a breach as required by law.

Changes to this policy

We may update this policy from time to time. When we make material changes we will update the effective date above and, where appropriate, notify you by email or through the Services.
